Each booth space will also come with two chairs and a single 6-foot rectangular table with ivory linen. If you will be providing a food sample at your booth there is
no additional charge but you must make note of the sample on the last page of the contract in the special requests section. Exhibits may have no projection beyond the space that is allotted or which
interferes with traffic of exhibits of others. Safety and Security laws require that exhibits be kept out of or from extending into aisles.  PMU Women Of Color LLC reserves the right to make changes at any time in the location, size and display limits of any booth if this is in the overall best interest of the show.

Exhibitor wished to rental a booth (space) at June 23-24, 2019 PMU Women Of Color Conference hosted by PMU Women Of Color, LLC

Cost, Fees and Payment

Cost. The total cost (“$900 “) for rental space is due in full by exhibitor shall pay the Total Cost to Vendor as follows:

Cancellations must be presented in writing. Cancellations before May 20, 2019 will receive a refund minus

$50 administrative charge. Cancellations after May 20, 2019 ware responsible for outstanding booth balance.



Exhibitor will keep booth open and staffed at all times during show hours or leave it unattended at their own risk. PMU Women Of Color, LLC will not be held responsible for lost or stolen items. The committee reserves the right to restrict exhibits for any reason such as that which because of noise or method of operation, become objectionable or otherwise detract from or are out of keeping with the character of the show as a whole. If for any reason, the committee deems an exhibit or its contents objectionable, the exhibit will be subject to removal. This reservation includes persons, things, conduct, printed matter, or any items that the committee considers objectionable. In the event that eviction or restriction is enforced, the committee will not be liable for refunding rental fees or funds for exhibit equipment rental. Exhibitor agrees not to sponsor group functions, or any other activities in conflict with any official programmed show event except as approved in writing by the PMU Women Of Color, LLC  . Exhibitors operating video equipment with sound, audio equipment, loudspeakers or any other devices creating noise shall do so only at a level that does not interfere with other exhibitors. The committee may require discontinuance of their use if they are deemed too loud. Setup and teardown: Exhibitor agrees to abide by the schedule for setup and tear-down. Exhibitor shall be liable for the monetary damages caused to the committee as a result of its delay. No exhibitor shall remove any part of his or her booth display until the show is officially closed. Should exhibitor cause any damage to property, the exhibitor will be solely liable to the damaged party. Exhibitor must include preferred time to arrive for set up and must arrive during that chosen time. If exhibitor does not arrive during their chosen time, it will be forfeited and exhibitor will be forced to wait in line until there is an opening in the schedule.

Fire, Safety, and Health Regulations

Exhibitor agrees to comply with local, city and state laws ordinances, and regulations and the regulations of the Elysium Event Center covering fire, safety and health. All exhibit equipment and materials will be reasonably located within the booth and protected by safety guards and devices where necessary. Combustible or explosive materials and substances are not to be used. Cloth and other materials must be flameproof. All natural decor items such as pine boughs, leaves, hay or straw and other similar materials are prohibited unless treated with flame retardant chemicals. Packing contaiExcelsiorelsior, wrapping and similar materials must be removed from the exhibit area and not stored under tables or behind displays. Exhibit areas may not extend in front of any entry/exit doors. Aisle ways to remain clear at all times. Scotch tape, duct tape, adhesives, thumbtacks, screws and nails are not to be used on walls, doors, floors or any equipment or furniture owned by Purdue Memorial Union. Lighted candles are prohibited. All cylinders or containers of high-pressure gas, such as helium, may not be brought into the building without special prior arrangements made through the pmu women of color . The Purdue Memorial Union Events Office must approve electrical equipment requiring unique power needs or special installation in advance. Temporary power or extension cords must be routed away from all pedestrian traffic. A floor runner over a power cord or duct tape is not acceptable. Damage from failure to observe the above regulations is payable by exhibitor.

Character Of Display and Dress Code

It is the desire of the PMU Women Of Color, LLC that each exhibitor design and create an exhibit of an attractive nature, which will enhance the overall appearance of the show and be a credit to the industry. PMU Women Of Color, LLC reserves the right to approve the character of the display and to prohibit any display which, because of noise or other objectionable features, detracts from the general character of the show. Exhibits must be in good taste as determined by the committee. It is the exhibitor’s responsibility to create an attractive display area, including method of sign display. Nothing can be hung from the walls of the Purdue Memorial Union. Any part of an exhibit which does not compliment the purpose of the exhibition must be corrected at the exhibitor’s expense. Each exhibitor must be dressed appropriately for the event inappropriate apparel and appearance. Semi-formal attire is encouraged. Minimum appropriate apparel and appearance for men would require them to be clean, groomed and clothed in dress slacks and shirt. Minimum appropriate apparel and appearance for women would require them to be clean, groomed and clothed in dress slacks or skirt and shirt, or a dress. No jeans, t-shirts, sweat suits, or tennis shoes are permitted.

Samples and Giveaways

Distribution of samples is permitted provided there is no interference with other exhibits and they are distributed only from exhibitor’s booth. Management may withhold or withdraw permission to distribute samples or giveaway items and advertising it considers objectionable. If you have any questions, or if you have materials already prepared that you would like to have distributed at the guest entrance, please contact member of PMU Women Of Color, LLC to discuss those possibilities. If you will be providing a food sample at your booth there is no additional charge but you must make note of the sample on the bottom page of the contract in the special requests section. All prize drawings conducted at your booth must be listed on the last page of contract in the special requests section or you will not be permitted to give away any prizes on the day of the event. While we encourage you to offer a prize for which guests can register in your booth, please remember that lottery contests (those that include a prize, chance and consideration) are illegal. Food and beverage samples: All food or beverage samples must be approved by the PMU Women Of Color, LLC. Any food preparation or cooking equipment that will be performed or used in the exhibitor’s booth must meet fire marshal standards and be approved by PMU Women Of Color, LLC in advance.


This event is a non-smoking facility. Smoking is only permitted in areas outside the facility in designated areas.

Photography and Video Recording

No exhibit, performance or event presented at PMU Women Of Color, LLC  shall be photographed, videotaped, broadcast or recorded for commercial use, sale or distribution of any kind without consent from PMU Women Of Color, LLC. Exhibit/Vendors shall not photograph or videotape the exhibit/presentation or product of another Exhibitor without consent of the Exhibitor.

Exhibit Space Application/Contract

We, the undersigned, hereinafter referred to Exhibitor; do hereby submit our contract for the reservation of display space as an Exhibitor in PMU Women Of Color 2019, subject to all terms, conditions and regulations governing the show and its production as set forth on this contract. BOOTH SPACE FEE IS DUE WITH RETURN OF EXHIBIT CONTRACT This application becomes a contract upon acceptance by show management. Cancellations must be presented in writing. Cancellations before May 19, 2019 will receive refund minus $100 administrative charge. Cancellations after May 19, 2019 will forfeit all booth fees and are responsible for outstanding booth balance.

Governing Law.

The laws of govern all matters arising out of or relating to this Agreement, including torts.


If any portion of this Agreement is deemed to be illegal or unenforceable, the remaining provisions of this Agreement remain in full force. a.


i. PMU Women Of Color, LLC


This Agreement constitutes the final, exclusive agreement between the parties relating to the and Services contained in this Agreement. All earlier and contemporaneous negotiations and agreements between the parties on the matters contained in this Agreement are expressly merged into and superseded by this Agreement.
